You can migrate a client’s documents from Document Manager to Document Hub and have a copy of the previous year’s documents in the Cloud, which can be used when preparing the current Tax Return.
Migrate a client’s documents from Document Manager to Document Hub
From the Document Manager Tools menu, click Migrate Client Documents to Document Hub to open the ‘’Migrate Client Documents to Document Hub’’ window.
Note: The Migrate Client Documents to Document Hub option is available only for Document Storage (DS) licence type.
Select either Single Client or Tagged Clients.
If you selected Single Client, click the ellipsis.
Choose a client from the list whose documents requires a signature and then click Select. Alternatively, click Find to sort and search for a client using various search options.
View the client reference ID along with the folder structure that exists in Document Manager for the selected client.
Select the document folders or sub-folders that are to be migrated and then click Migrate Documents.
On the “Attention” window, click OK to confirm document migration.
Note: For the tagged clients process, the following message will appear if the number of tagged clients exceeds the maximum number.
For this scenario, click OK then reduce the number of tagged clients to the maximum value and retry the migration process.
A progress indicator displays as the documents get uploaded.
Click the green refresh icon to refresh Document Manager. The Sent to DoH column will display a mark against the documents migrated to Document Hub.
Note: The Sent to DoH column is available only for Document Storage (DS) licence type. To enable this column, from the Options menu, click General and then select the Sent to DoH checkbox.
To search for the documents migrated from Document Manager, log in to Document Hub as a staff user and navigate to Practice Documents > Client Documents.
In the Uploaded field, enter the date when the documents were migrated. The page will refresh and display the documents.
Author and Document Tags will display as per the details available against the document in Document Manager.
Troubleshooting Errors
Upon migration, a text document (file name: Document Migration *date*) gets created within the application folder saved in your system. Refer to this file to check for any migration errors.
The external ID is invalid
If you see the external ID is invalid error in the text document, check and confirm the following connections to resolve the error:
Integration Configuration is authorised.
Document Hub practice is authorized and linked in Integration Portal.
Failed while sending a file chunk to S3
If you see the “Failed while sending a file chunk to S3” error in the text document, follow the steps below to resolve the error:
In the text document, search for the documents that did not migrate during the migration process.
Locate these documents on Document Manager and repeat the migration process for the selected documents.
Note: A tick mark will not display against the documents that did not migrate during the migration process.
