Document Hub - Delete or suspend a user in Document Hub

You can delete or suspend/resume Document Hub logins.

Delete a Document Hub User

You can permanently delete a Portal user and specify where any signed documents they have in Document Hub are to be saved in Document Manager.

The Group Portal login to which the deleted Portal user is linked will also be deleted if no other Portal users are linked to it.

  1. Log in to any of your HandiSoft programs as the ADMINISTRATOR user or a user with ADMINISTRATOR rights if Practice Manager Security is enabled.

    • The ADMINISTRATOR user is required to be activated for Document Hub before carrying out Document Hub functions.

  2. Highlight the client whose Portal user is to be deleted, and click Edit to open the Client Details window.

  3. Under Related, in the Document Hub field, click the ellipsis button to open the Document Hub Configuration for, window.

  4. Highlight the required Portal user and click Delete.

    • The Delete button is only available if you are logged in with the username Administrator.

  5. An Attention window containing information regarding the existing documents and pending signatures for the portal login will display.

  6. Click Yes to confirm the deletion.

  7. In the, Copy Signed Documents, window, highlight the Document Manager folder or subfolder where the deleted Portal user’s signed documents in Document Hub are to be saved. If necessary, you can highlight a cabinet or folder and click New to create a new folder or subfolder.

  8. Click OK to save the signed documents.​

Suspend/Resume Document Hub access

Any staff user in the practice who is activated for Document Hub has the ability to Suspend/Resume a client's login access to Document Hub.

This can be achieved using two options: Maintain Client Portal Logins window in Document Manager or Document Hub Configuration window via Client Details.

Maintain Client Portal Logins

  1. Log in to Document Manager, then click on View and Maintain Client Portal Logins.

  2. Highlight the relevant active username in the 'Client Portal User Name' list and click Suspend.

  3. Click Yes.

  4. The status of the Portal User will update to Suspended, and the Suspend button will update to Resume.

  5. The Suspend/Resume button may be toggled as required.

  6. When the status is Suspended, the Portal User will receive a message when attempting to sign into the Document Hub browser.


Client Portal Configuration window

  1. Log in to any of your HandiSoft programs.

  2. Highlight the client whose Portal user is to be suspended, and click Edit to open the Clients Detail window.

  3. In the Document Hub field, click the ellipsis button to open the, Document Hub Configuration for, window.

  4. Highlight the Portal user to be suspended and click Suspend.

  5. Click Yes to confirm the suspension.

  6. For individual clients, in the Clients Detail window, the Document Hub field will now show the client’s status as Suspended.

  7. To resume a suspended Portal user’s access to Document Hub, in the Document Hub field, click the Ellipsis to open the "Document Hub Configuration for" window.

  8. Highlight the Portal User to be resumed and click Resume.
