HandiLedger - Restore a deleted entity in HandiLedger

Important: HandiSoft Online customers using HandiLedger SQL cannot use shadow copy to restore a deleted entity. Entities are stored in SQL tables, so restore functionality is only available for major incidents, such as a full database restore to a point in time. If an entity is deleted from HandiLedger SQL in HandiSoft Online, you must recreate it manually in the module. If you are using HandiLedger SQL on the desktop (not HandiSoft Online), see the Recover an entity in SQL HandiLedger section below.

Recover an entity in ODB HandiLedger

  1. Open File Explorer.

  2. Navigate to the HSoft/Data/WHO/ClientRef folder.

  3. Check that the Transaction20xx.dat files are bigger than 1KB and list all the years. Where the transaction files are 1 KB, if using the desktop version, Merge an entity from a backup.

    Important: If you are using HandiSoft Online, do not continue with these steps, refer to How do I restore shadow copies within Access HandiSoft Online?.

  4. Where the Transaction files are larger than 1KB and the Entity exists in HandiLedger, but the years are missing, try adding each year back into HandiLedger.

  5. If the Entity is missing in HandiLedger, go to the Entity menu, Add New Entity, click Choose and select the entity reference.

  6. Enter all the required information into the Entity Details window. Ensure the Reference, Entity Name and Business Name are correct.

  7. Select the correct entity Type, then click Save.

    1. If the years are showing in HandiLedger, select the year and go to Tools, Verify Accounts, Start, then Close when complete.

    2. If all the years aren't listed in the HandiLedger, click Year, New, type in the Year and tab through, then click Save. Then repeat the step above.

  8. Go to View, Transactions to ensure the data is restored.

Note: If no transactions are listed in the Transactions window, then the transaction file for that year may be corrupt. You will need to restore the client data from a backup (see the linked article in step three).

Recover an entity in SQL HandiLedger (desktop only)

Restoring data in a SQL desktop environment follows a different process. Refer to restoring certain data from a SQL backup for instructions. This does not apply to HandiSoft Online SQL users. If you use HandiSoft Online, refer to the important note at the top of this article.
