You can copy transactions from client to client, but prior to doing this, you first need to establish you are using the ODB or SQL version.
Tip: If no transactions have been entered for that year, the ODB version has a shortcut option available. Jump to step #> ###### ##.
HandiLedger SQL version
Ensure you have a working backup of the HandiLedger entities before attempting to move any data.
Log in to HandiLedger, then select the entity and year that you need to export the transactions from.
Go to Tools, Export Data to an ASCII File, Transaction Details.
Choose the period of transactions to be exported, then click Ok.
Click Load to choose the mapping scheme.
On the ASCII Import/Export Field Mapping Schemes window, highlight HandiSoft and click Select.
You’ll now be back on the Export ASCII Data window. Click Run.
On the Export File window, choose a location to save the file, give it a name, and click Open.
The next window will state how many records have been exported. Click OK.
A copy of the ledger entries has now been exported. If they need to be deleted from this entity, you will need to manually delete them. We recommend deleting after you have confirmed they have been imported successfully to the second client.
You can now select the entity and year that the transactions will be imported into.
Go to Tools, Import Data to an ASCII File, General.
On the Import Entries window, click Import, then on the Import ASCII Data window, click File.
On the Import File window, choose the file you saved.
On the Import ASCII Data window, click Load, select the HandiSoft mapping scheme. It’s important to choose the same mapping scheme that was used to export the data.
Click Run on the Import ASCII Data window.
The next window will state how many records have been imported, click OK.
If the import process is not successful and you receive a message, you will need to click OK to close the message.
On the Import Entries window, click Errors, and the Import Errors window will give reasons for each error. These errors need to be fixed before you can import the entries. When you close this window, you can remove each line that had an error using the Remove button, or you can Close the Import Entries window to cancel the import process.
If there are no errors, click Close on the Import Entries window, and click Yes on the Attention window to post imported entries.
HandiLedger ODB version
Important: ODB Version: You have an alternative method to copy the transactions to a newly created entity with no existing transactions.
If you use the ODB Version of HandiLedger, you can perform the steps below:
Ensure all staff have logged out of all the HandiSoft software, and you have a backup of the HSoft folder.
Open File Explorer and navigate to HSoft\Data\Who\<Client REF> (that you want to copy).
Copy the Transaction20xx.dat file (xx stands for the year) of the year that you would like to copy.
Go to the Reference code folder of the Entity that you would like to copy to and paste the copied Transaction file.
Open HandiLedger and select the newly created entity.
Add the Years to the entity.
Go to Tools, Verify Accounts, and click Start. This process will need to be done for each year you have copied.
Once the verification is complete, check if the transactions have been copied.
