For many reasons, you may want to mark clients as non-chargeable in Time+Billing so WIP cannot be added to them, and invoices cannot be created against them. The details below show the different settings that can be used for this.
Non-Current Clients
In Time+Billing, to ensure non-current clients don’t get invoiced, go to the Options menu, then General.
Under the ‘Non-Current Clients’ section, you can choose your preferred option.
Allow: enables selecting non-current clients in timesheet items.
Show Warning: enables a warning message if you select a non-current client in a timesheet item.
Prevent: you won’t be able to select non-current clients when entering timesheet items
Close Off Date
You may want to prevent the Adding, Editing and/or Deleting of WIP and debtor transactions on or before a specified close off date.
To set this, go to the Options menu, then General.
Under the Close Off section, enter the date in the Date field and select one or more of the following check boxes for the types of transactions to disallow.
Adding WIP / Debtor transactions.
Deleting WIP / Debtor transactions.
Editing WIP / Debtor transactions.
Extra Details
A client can be marked as a non-chargeable client.
In Time+Billing highlight the client and click Select on the bottom menu.
From the access panel on the left side click Extra Details.
Under the ‘Client Charge Option’ section clear the Charge client check box if you do not want the client to be charged for work done. This automatically sets the rate to zero when you make timesheet entries against the client.
Client Groups
Client groups can be set up so that only the head client will get billed.
Example: You may do work for a Family that includes the Husband, Wife and Child; however, you only want to send one bill, the Husband's, that covers all work done.
In Time+Billing go to the Client menu, then Client Groups.
Click New and give the group a Name and Group Ref. On this window, you can also tick ‘Direct Invoices to Head Client’.
Click Add to add the relevant clients to your group.
Notes:
The first client added to the group will default as the head client. You can see they are the head client as there is a ‘Y’ in the Head Client column.
You can set a different client in the group as the head client by highlighting them and clicking Set Head Client.
All work should be completed on each client as normal. When invoicing, all work will be available to invoice on the head client only.
