The below are some commonly asked questions regarding Document Hub security.

Ownership of and access to our data

  1. Does Access HandiSoft, or anyone else claim ownership of the data that we or our clients upload into the Document Hub portal?

  • No. The End User License Agreement can be accessed from the ​​​​​​​Document Hub main page Policy link

2. How can we get a copy of our data in the case where we decide to move to another provider, in the case where Access HandiSoft ceases to exist, or in any other case where our agreement with Access HandiSoft is ended?

3. How long will we have to get a copy of our data and in what format will it be provided?

  • The documents will always be available in Document Manager while you’re licenced for the product.

  • Alternatively the documents are available through windows explorer in the Hsoft\Doc\DocBase folder until such time as they are deleted by the user.

4. What options are available to transfer our data to another provider?

  • None.

5. What tools are available for copying or transferring our data?

  • The documents in Document Hub can be copied to a folder in Document Manager. The documents are available through windows explorer in the Hsoft\Doc\DocBase folder.

6. Will we be charged a fee if we wish to withdraw our data?

  • No fee is charged to remove Document Hub.

7. Is all of our data deleted once our agreement ends?

  • No. You no longer have access to the data, but the data is preserved.

8. Are there any circumstances where we would be denied access to any of our data?

  • Access Handisoft has the ability to suspend the service.


Location of data storage and backup

9. Where is our data being stored (Country/State) and with which provider?

  • Servers in SYDNEY using Amazon Web Services (AWS)

10. Is our data being backed up? If yes, where and how often?

  • Yes. Amazon have 3 duplicate servers so that if one goes down, the other two retain the data.

  • Access HandiSoft performs backups of the database every night.

Privacy and data breaches

11. Does Access HandiSoft, or its platform providers comply with Australian Privacy Laws?

  • Document Hub uses these Amazon EC2, RDS and S3

  • Amazon EC2 is the web site hosting.

  • Amazon RDS is the SQL Database

  • Amazon S3 is used for the storage of documents

12. Under what circumstances would Access HandiSoft or its platform providers access our data or disclose our data to a third party?

  • AWS does access this data. Access HandiSoft will only access the database if you have any queries via Support

13. Will we be notified if our data has been lost, breached or its security compromised?

  • We notify our customers when we need to bring the server down for maintenance or updates. Access HandiSoft has a policy in place to notify clients if this was to occur for any of our products, not just cloud products.

14. What arrangements are in place to secure our data?

  • Backups by Access HandiSoft and AWS. Only Access HandiSoft Live services have access to the Servers via jump box, this jump box can only be accessed inside Access HandiSoft's Network.
