If you are getting the error: 'Error on load of Document Manager Module. Not data page at position... in file HsDocSrvFile.dat' follow the below steps to fix this issue:
You can run a rebuild of the Document Manager Database from Practice Manager;
Note: Ensure all users have closed out of all HandiSoft programs and you have a suitable backup before performing the steps. If you are using the SQL version of the software, please raise a new case with support and reference the title of this article. The rebuild functionality is not available in SQL.
One user can open Practice Manager Contact only
Go to Tools, Rebuild the Databases
Tick Document Manager database
Click Rebuild at the bottom
Read and Agree to the prompts.
If you can open Document Manager, you can run rebuild from Document Manager with the steps below:
One user can open Practice Manager Contact then Document Manager only.
Click on Tools, Rebuild the Databases
Tick Main Data
Click Rebuild at the bottom
Read and Agree to the prompts.
In most cases with this error, the Document Manager database option is greyed out and you cannot run the rebuild. If the rebuild is not available as it's greyed out, the Document Manager file β HsDocSrvFile.dat needs to be restored from your latest backup, before the error occurred.
Ensure all users have closed out of all HandiSoft programs.
Navigate to the Hsoft\Data folder and rename the existing HsDocSrvFile.dat file to HsDocSrvFile.datOLD
Navigate to the Hsoft\Data folder in your backup and copy\paste the HsDocSrvFile.dat from here to the live Hsoft\Data folder.
After restoring the file into the Data folder, please follow the steps below:
Note: Please ensure everyone is out of all HandiSoft programs and you have a suitable backup before performing the steps below.
2. Rebuild hsdocsrvfile.dat from Document Manager or Practice Manager Contact (on the server) following the steps as mentioned above with no other user in any HandiSoft program.
Note: If the rebuild fails and you get a message to contact your software provider, you need to delete the HsDocSrvfile.reb in your Hsoft/Data folder. The rebuild fails if a user tries to access Document Manager or the file is open on the server.
2. Verify Clients in Document Manager, click on Tools, Verify Clients
This process looks at all Client Reference Codes which exist in the client's database ie Clients.NN (where NN represents the current year) and ensures that;
Every client reference exists (as a folder) in the \Hsoft\Doc\DocBase\Clients directory - missing folders will be created.
If a missing folder is created, sub-folders will also be created as per the folder structure under Tools, Create Client Folder in Document Manager.
3. Run Synchronise in Document Manager, go to Tools, Synchronise.
This process will search the DocBase directory and add, into the Document Manager interface, any new items that are found in the DocBase but are not visible in Document Manager.
Any items found and added into Document Manager as part of a Synchronisation will have a creation date and time as at the date and time of the Synchronisation. In addition to this, the Author of the document will show as the username of the user who performed the Synchronisation.
