Access HandiLedger provides many ways to make your data entry faster. We recommend that you complete the following settings before inputting data into Access HandiLedger.
Bank statement data entry order
To increase the effectiveness of your data entry, you should customise the layout of the Bank Statement Entry window:
Go to Options, Data Entry, Bank Statement Data Entry Order to open the Bank Statement Data Entry Order window.
2. At the top of the window, select Yes if you want Access HandiLedger to move your cursor to the debit or credit column automatically, based on the type of account that has been selected.
For example, if you input a revenue account code, Access HandiLedger would skip the Debit column and would place your cursor in the Credit column.
If you click No, then the cursor will always go across the screen in the order that you set up the columns.
3. The columns of the Bank Statement Entry are listed in the lower section of the window. Use the up and down buttons to alter the column order.
Example: Due to the way that Susan codes her bank statements, she needs to move her Account Number column between the Reference and Tax Code columns. The column order will then reflect the order of the columns on her physical bank statement. Susan would move the column as follows:
Highlight Account Number Field, and
Use the down button at the bottom of the screen. Keep pressing this button until Account Number Field is between Reference Field and Tax Code Field.
TIP: Smart tabbing to the Debit Amount or Credit Amount column is dependent on the Account Number column being more than one column to the left of both these amount columns. Similarly, for smart tabbing to the Livestock Quantity column, it must be at least one column to the right of the Account Number column.
4. Press OK to save the changes.
Changing how the ENTER key behaves
In Windows programs, the Tab key is used to move the cursor from one field to the next. This is not always convenient when performing data entry using the numeric keypad. To make your data entry more effective, Access HandiLedger lets you enable the numeric keypad Enter key to move the cursor from one field to the next.
To change the Enter key:
Go to Options, Data Entry, Keystrokes and Capitalisation. The Data entry options window will open.
2. To have the numeric keypad’s Enter key operate in the same manner as the Tab key on the main keyboard, select the Use keypad Enter key as Tab key check box.
3. Click OK.
Changing the automatic capitalisation of text
Access HandiLedger can automatically capitalise text for you. You can select from the following settings:
No Capitalisaton: You must use the Shift Key to capitalise text as you type. Access HandiLedger will not automatically captialise text
First Character: Access HandiLedger will automatically capitalise the first character of every word.
All Characters: Access HandiLedger will automatically capitalise every word.
To alter Access HandiLedger's automatic capitalisation:
Go to Options, Data Entry, Keystrokes and Capitalisation. The Data entry options window will open.
Under Capitalise Text, select the required capitalisation option.
Click OK.
Establish keyboard macros
Macros are used to pre-record tasks that you perform frequently. Macros can greatly reduce the number of keystrokes required to perform a certain task.
