HandiLedger - Banking, create search terms for bank statement entries in HandiLedger

HandiLedger Search Terms let you automatically allocate transactions to the correct account codes based on keywords or phrases found in the transaction descriptions.

To use this feature:

  1. Create and save your Search Terms first.
    Each term should include a keyword (e.g., "Telstra") and the account code it should be linked to (e.g., 1940 for telephone expenses).

  2. During the next bank statement import, HandiLedger will scan transaction descriptions. If a description contains a saved keyword, the associated account code will be automatically applied.

  3. Optional: You can also choose to replace the transaction description with a custom one when a match is found.

Search Terms can be set up for:

  • All entities

  • Specific entity types

  • Individual entities

Create a Search Term

  1. Log in to HandiLedger, then select your entity.

  2. Go to the Banking menu, then click Search Terms.

  3. The default tab will be on Selected Entity. If the Search Term is only for the currently selected entity, remain on the Selected Entity tab, if not, select the tab matching the entity type. For all entity types, you can click the Global tab.

  4. Click New.

  5. Under Search Word/Phrase, type in the words or phrases to be searched for in the transaction descriptions from the financial institutions. We recommend using a maximum of 40 characters for search terms, account descriptions, and narrations.

    Note: Transaction entries matching both Word/Phrase 1 and Word/Phrase 2 will take precedence over a match with a Search Term with only a Word/Phrase.

  6. Under Posting Details, select the accounts to which transactions containing the search words or phrases are to be posted.

  7. In the Narration column, enter a new description for matching transactions to appear in the Description column. Leave this field blank to use the default description from the financial institutions.

  8. Under Search Listings, the checkbox for the entity group to which the Search Term will apply will already be selected. If required, you can select additional checkboxes for other entity types. The Reference field will display the selected entity’s reference code.

  9. Click Save to save the search term, then click Close.

Tip: If the search terms aren't updating the transaction, confirm there are no duplicate search terms. If there is, delete one and try again.
