The data file CCtaxforms.dat contains all of your clients' tax forms that are displayed in the Practice Manager Contact Tax Forms tab, together with the tax return summary page information.
The file size warning may appear if the file becomes too large
Warning - this file is nearing the 2GB maximum size limit.
A rebuild of your database files may help to remedy this situation.
However, if this warning continues to appear, an upgrade to Access HandiSoft SQL may be required.
Rebuild the CCTaxForms data file
Before running a rebuild, ensure you have a current working backup.
All users must close out of ALL Handisoft Programs.
Navigate to the HSoft\Data folder and sort the files by file type. In the Type column, find the files with the type of REB.
Rename any REB files e.g., Clients.reb<today's date>, ensure that you only rename the REB file types and no other files. If there are no REB files, continue with the process below.
One user will open Practice Manager Contact only.
Go to Tools, Rebuild the Databases, tick Client Centric Tax Returns database, click Rebuild, Read and Agree to the prompts.
Check if the rebuild has resolved your data warning message.
Generate a new CCTaxForms data file
Where the warning continues, you can create a new file to reduce the size.
All users must be closed out of all Handisoft Programs.
Open File Explorer, then navigate to the HSoft\Data folder.
Rename the CCTaxForms.dat file to CCTaxForms.datOLD
Open Practice Manager Contact for a new file to automatically generate.
Note: On entering the program, it will load up a new file, which can take quite some time, be patient and allow it to run through.
Once generated, close out of Practice Manager Contact and open the current year HandiTax module.
Go to the Client menu, Recalculate Clients Tax Details, highlight #All then press Select.
Repeat the step above in at least two HandiTax prior years.
Tip: You can run the recalculation on earlier years; however, we suggest only running the earlier years on an ‘as needed’ basis for individual clients. Each year's data will increase the file size, so running for only those clients who require the summary in these earlier years will keep the file to a minimum.
