HandiSoft - Change or merge user names in HandiSoft

From time-to-time users may change names, leave your firm, or you may find instances of the same user under two different user references, and you may want to utilise the following procedures to keep your user list references in order.

User Leaves

If a user leaves the firm you will in all likelihood have data associated with that user in some, if not all, of your programs and we strongly recommend that you do not delete the user but rather mark them as resigned.

  1. Log in to your HandiSoft program.

  2. From the View menu, click Users.

  3. In the Select a User window, highlight the applicable User and click Edit.

  4. In the Edit User window, complete the Resignation Date.

  5. Click Save and Close.

  6. In the Select a User window, de-select Show all users and click Close for resigned users not to show in User Lists.

User Changes Name

If a user changes their name, for example where a female staff member gets married, you may want to bring the user reference in line with the new name by using the user change functionality.

  1. Ensure you have a suitable back up.

  2. All users have to log out of all HandiSoft products.

  3. Log in to HandiSoft/Practice Manager with the username Administrator

  4. From the View menu, click Users.

  5. In the Select a User window, highlight the applicable User and click Change.

  6. Click OK to the warning message.

  7. In the Change User Reference window, type in the New User Reference and click Ok.

  8. The process will work through each program changing applicable data.

  9. On successful completion, click Ok.


Merging User Names

If you discover that you have two user names for the same staff member, you are able to merge the users' references using the user change functionality.

  1. Ensure you have a suitable back up.

  2. All users have to log out of all HandiSoft products.

  3. From the View menu, click Users.

  4. In the Select a User window, highlight the applicable User that you want to change (not the one that you want to keep) and click Change.

  5. Click OK to the warning message.

  6. In the Change User Reference window, insert the New User Reference using the dropdown box to select the User Reference you want to merge the data for the highlighted user into and click Ok.

  7. The program will detect that the New User Reference selected already exists and will ask you to confirm the merge, OK.

  8. The process will work through each program changing applicable data.

  9. On successful completion, click OK.

Important Note: Make sure you have a suitable back-up prior to proceeding. Make sure you are satisfied with the after result before doing any additional work and if you are not satisfied or concerned that your objectives have not been achieved, restore your back up ASAP.
