Using the Scanning functionality in Document Manager

HandiSoft recommends the use of a scanner with a TWAIN data source.

The scanner must be set up correctly on your workstation for integration with Document Manager. The scanner does not need any additional installation in Document Manager. The program will access the TWAIN_32 on your %systemroot% for access to the relevant drivers.

Notes:

  • Refer to your scanner documentation and ensure that you are using the latest drivers for your scanner.

  • HandiSoft cannot guarantee any scanners to be fully compatible with Document Manager due to the fact that we were unable to encompass all the possible operating systems and scanner drivers in our testing program and therefore assume no liability in this regard.

Remote scanning

If you use a thin client environment (Terminal server), you may need additional software if the scanner is connected to the thin client by a USB. (Redirected scanner to Terminal server).

Optical Character Recognition (OCR) Troubleshooting

The auto-filing features in Document Manager use the Optical Character Recognition (OCR) functionality from Microsoft Office.

  1. Ensure that Optical Character Recognition is an included component.

  2. From the Control Panel, click Programs and Features.

  3. In the Uninstall or Change Program window, highlight Microsoft Office Professional Plus 20nn and click Change.

  4. In the Microsoft Office Professional Plus 20nn window, click Office Tools and check that Optical Character Recognition (OCR) is installed if not it will need to be added.

If you are using Microsoft Office 2010 onwards, you may need to install Optical Character Recognition (OCR) as a separate component from SharePoint Designer.

If Optical Character Recognition (OCR) is not installed, the OCR functionality will not work in Document Manager.

If it is installed and the OCR functionality is still not working, the following suggestions may assist:

  • Check the dpi settings; we recommend 200 dpi Greyscale. Different scanners may produce slightly different results. Try adjusting the dpi settings to achieve optimal results.

  • Some scanners use a feature known as Fast Web View. This can cause potential problems for OCR and also for collating documents within Document Manager. We do not recommend using Fast Web view. Consult your scanner documentation for disabling this feature.

    Document Properties
  • Ensure that the orientation of the document is correct. If the page orientation is incorrect, MODI will fail to perform OCR.

  • Ensure that the glass of the scanner is clean and particle-free.

  • Try changing the scanner output format of the scanned document, for example, from a PDF to a TIFF.

  • Try changing the data source from TWAIN to WIA or vice versa and adjusting the settings on the data source.
