Document Manager - Setup auto-filing documents in the Watch Directory in Document Manager

Document Manager can use OCR to detect the following items on image and PDF files to file them in the relevant client folders.

  • Client Reference

  • Client TFN

  • Client ABN

  • Client ACN

Note: One of the pages within the document must clearly contain the filing option you are using to use the auto file.

Tip: If you are using the Client Reference code to auto-file your documents, ensure that the Client Refcode is 4 letters and 4 digits long e.g ABDP0001.

  1. On the "Documents found in the Watch Directory” window, under View Document, you can select the documents to view. e.g. View PDF Files

  2. Under Auto Filing, select the item to be detected for filing the document.

  3. Example: To file the documents under the client’s TFNs, select File by Client TFN.

  4. If you want to rename the documents being filed, select the Rename on Filing check box and type the new name in the New File Name field.

  5. Click Auto File to start the OCR.

Document Manager is also able to use Optical Character Recognition (OCR) to scan the document for a TFN, Client Reference number or ABN, and then file the document in the relevant client’s folder: Scanning and OCR functionality in Document Manager.
