Access Documents is a secure method of transferring documents between your accountancy firm and your clients. To add Access Documents to your firm, you must first provide the email address of your firm's Admin user to Access Software Australia.
Your Admin user has special access to Access Documents to perform customisation and administration tasks.
đNote: The Admin user can only access Access Documents via a web browser.
Activate Access Documents
Upon purchase of Access Documents, HandiSoft will generate an activation email to the email address on record for your practice.
Open the activation email sent to your practice's email address.
Click the activation link. An Admin user will be created for your Access Documents, enabling you to perform maintenance as and when required.
Activate staff members
Staff who will use Access Documents must be activated before they can use the product.
From the View menu, click Users.
Highlight the applicable staff member, then click Edit.
Enter the staff member's email address in the Staff Email Address field, then click Validate.
The staff member will receive an activation email. Once they activate it, they will receive a confirmation window stating that Access Documents has been activated.
đNote: The username Admin cannot be used for staff members, as it is reserved for the Admin user.
Invite clients to Access Documents
Activated staff members can invite clients with an email address to join Access Documents.
In the Client Details window, click the ellipses in the Client Portal field.
In the Client Portal Configuration window, enter the client's details:
Name: Individual names are pre-populated. Non-individual names require manual entry.
User Name: This is assigned automatically by Access Documents when you click Save, unless you are using a group login.
Staff: This defaults to the logged-in user, but can be changed to any other validated staff member.
Click Save. An activation email will be sent to the client, who will need to assign their own password.
Once the client's email is validated, the Client Portal status in the Client Details window will update to:
Activated - for individuals.
Enabled - for non-individuals.
Access Documents is now ready for use.

Your clients use a web browser to access Access Documents to:
View documents.
Download documents.
Download and sign documents.
Upload documents.
Send messages.
đNote: Only the accounting firm's Access Documents Admin user accesses Access Documents via the web browser, and only for maintenance tasks such as adding a company logo.
