HandiLedger - Adjust debtor invoices in HandiLedger

HandiLedger allows you to adjust the value of a specific invoice to cater for bad debts, credit notes or other situations. There are two ways of achieving such an adjustment.

  • Record a discount from Debtors, Sales Receipts.

  • Record an adjustment from Debtors, Invoice Adjustment.


    Recording an invoice adjustment

  1. Log in to HandiLedger and select your entity.

  2. Go to Debtors, View Debtors to open the Debtors window.

  3. Highlight the required debtor and click Input and Adjustments to open the Debtor Adjustment window.

  4. Under Adjustment Type, select the type of adjustment you want to make.

  5. In the Debtor field, type in the reference for the debtor or click to select the debtor from the Select Customer window.

  6. In the Invoice field, type the number of the invoice to be adjusted, or click to select the invoice from the Select an Invoice to Adjust window. You can only make one adjustment per invoice.

  7. Complete the fields on the Debtor Adjustment window.

  8. Click Save to save the adjustment.

  9. Click Post to post the adjustment.

  10. When you have completed the adjustment, click Close to exit the Debtor Adjustment window.

  11. If you have saved information without posting it, you will be asked if you want to post it now. Click OK to post the adjustment.

  12. The adjustment will show up as a transaction in HandiLedger or HandiBiz.

Tip: You can leave the Invoice field blank if you want to record a credit note for a customer without raising an invoice. The transaction will be recorded in HandiLedger or HandiBiz with a negative reference number.

Viewing invoice adjustments

To view invoice adjustments that have been made:

  1. Log in to HandiLedger and select your entity.

  2. Go to Debtors, View Debtors to open the Debtors window.

  3. On the Debtors window, highlight the required debtors and click Show. On the menu that appears, select Adjustments.

  4. You can edit, delete, and create new bill adjustments as required.

  5. Click Close to exit the window.
