Document Manager - Perform a synchronise in Document Manager

In Document Manager, the synchronisation process searches your DocBase directory and adds, into the Document Manager interface, any new items that are found but are missing from Document Manager. 

Documents found are added to Document Manager as part of a synchronisation, and will display the time and date created as the date and time of the synchronisation. In addition, the document author will display as the user who performed the synchronisation.

Manual synchronisation

  1. Press F10 on your keyboard to log in to Document Manager within any HandiSoft program.

  2. Highlight the cabinet, drawer, folder, or subfolder that you want to synchronise.

  3. Go to Tools, Synchronise.

  4. Select the extent of the synchronisation, i.e. To synchronise the entire Document Manager database, select All.

  5. Document Manager will check the DocBase location on your computer for files not recorded.

    Tip: If Document Manager is launched from Practice Manager Contact, you can select the Exit Application after Synchronise check box to automatically close Practice Manager Contact when the synchronisation is complete. This enables you to start synchronising at the end of the day.

  6. If the author of a document is not a Practice Manager user, Document Manager will require you to select a username for the author.

  7. Click Change to insert the selected username for one document only, or Change for All for all documents with the author.

  8. Click OK.

Automatic synchronisation

You can schedule Document Manager to automatically synchronise at a certain time and frequency. For example, set the synchronisation to occur every evening.

Note: For automatic synchronisation to occur, Document Manager must be running on at least one computer at the scheduled time. If Document Manager is not open at the scheduled time, the next time you open Document Manager, you will be asked if you want to synchronise.

  1. Press F10 on your keyboard to log in to Document Manager within any HandiSoft program.

  2. Go to Options, General.

  3. Select the On / Off check box to enable automatic synchronisation.

  4. Select Exit Application after Synchronise to automatically close Practice Manager when the scheduled synchronisation is completed.

  5. Select Verify Documents and auto Delete after Synchronise to remove records of Documents that no longer exist in your DocBase folder.

  6. Under Frequency select how often the synchronisation is to occur.

  7. If you select Specific Date, the synchronisation will only occur once.

  8. In the Date and Time fields, set the time for the first (or only) synchronisation.

  9. Click OK to confirm your settings.
