HandiSoft - Mapped or synchronised fields from HandiSoft desktop to Cloud products

Integration Portal enables the following information to be transferred between products. This means when you change this information in one product, it is updated automatically in the other.

  1. The Client Ref field is view only in Access Practice Management and will only receive the data from HandiSoft Desktop/Access Tax.

  2. The Client Type / Entity Type value is synced between all products and is handled in the following ways by each product: l HandiSoft Desktop - Value is not stored. Calculated in Integration Server based on client details when syncing to other products. Updated when Tax forms are created in HandiTax.

    • Access Tax - Value is stored. User selects from the drop-down list.

    • Access Ledger - Value is stored. User selects from the drop-down list.

    • Access Practice Management - Value is stored. Can be selected from a drop-down list if a new client is being created in Access Practice Management; however once the client has been created, this field becomes read-only.

  3. The Contact field is used when building the Contact Name in the Contact List if a name has not been entered.

  4. The Occupation field is a one-way synchronisation from HandiSoft Desktop to Access Practice Management, or from Access Tax to Access Practice Management, when a Tax Return is generated.

  5. The Industry field is a one-way synchronisation from HandiSoft Desktop to Access Practice Management, or from Access Tax to Access Practice Management, when a Tax Return is generated.

  6. Street Address value HandiSoft Desktop and Access Tax handle using either Address Type "S" or Address Type "A" as the street address when synchronising address information to other products. If an Address Type "S" does not exist, it will use Address Type "A" if that exists.
    These products also allow multiple addresses for the same Address Type for a client and the synchronisation process only picks up the first Address of each type.
    Access Practice Management has a single Shipping Address.
    Access Ledger has a single Principal Place of Business Address.

  7. HandiSoft Desktop and Access Tax handle using either Address Type "P" or Address Type "A" as the postal address when syncing address information to other products. If an Address Type "P" does not exist, and Address Type "S" does exist, it will use Address Type "A" as the Postal Address (if that exists). Address Type "A" is only used as the Postal Address if a Street Address exists, as otherwise Address Type "A" is used as the Street Address.
    These products also allow multiple addresses for the same Address Type for a client and the synchronisation process only picks up the first Address of each type.
    Access Practice Management has a single Billing Address.
    Access Ledger has a single Registered Office Address.

  8. HandiSoft Desktop and Access Tax have multiple Phone Types, and will use Phone Type "A" first, or if not created will use Phone Type "B", or if not created will use Phone Type "H". The Phone Number is stored as two separate fields, one for Area Code and one for Phone Number. Access Practice Management has a single Phone Number field, and both the Area Code and Phone Number are stored in a single field. FA does not store a Phone Number and therefore this field is not synced to Access Ledger.

  9. Address Type "M" in HandiSoft Desktop and Access Tax is synced to the Mobile field in Access Practice Management.
    Access Ledger does not store this information and therefore this field is not synced to Access Ledger.

  10. The Partner field is a one-way synchronisation to Access Practice Management, and is not synchronised between HandiSoft Desktop, Access Tax or Access Ledger. Access Practice Management will receive this data as text containing the name of the Partner.

  11. The Manager field is a one-way synchronisation to Access Practice Management, and is not synchronised between HandiSoft Desktop, Access Tax or Access Ledger.
    Access Practice Management will receive this data as text containing the name of the Manager.

  12. The Staff field is a one-way sync to Access Practice Management and is not synced between HandiSoft Desktop or Access Tax.

  13. Access Ledger does not store this field. Access Practice Management will receive this data as text containing the name of the Staff Member. The BSB, AccNo, and AccName fields are only stored in Access Practice Management and Access Tax, and therefore are only synced between those two products.

  14. Indicates if the client is active or inactive.

  15. The date the client was set to inactive.
