HandiTax and Practice Manager Contact allow you to send an email in bulk to multiple clients.
Open HandiTax or Practice Manager Contact.
Go to Tools, Bulk Email.
The Bulk Email window has three tabs: Client Selection, Email Details, and Distribution List.
Client Selection
Select the criteria for the client subset that the email will be sent to. You can select a client group or specify a range of clients.
Tagged Clients - Select the Tagged Clients checkbox to only include tagged clients within the specified range.
Filter Expression - You can further limit the clients to receive the email by clicking the ellipse button and selecting a filter from the Client Expressions window.
Filter By - You can limit the email recipients to clients associated with a specific Office, Partner, Manager, or Staff member.
Include non-current Clients - Select this checkbox to include non-current clients who meet the specifications.
Single Email per Client Group - Select this checkbox to send the email only to the head client of the client groups.
Email Details
Email subject, attachments, text, and sending email address details.
Enter an email subject.
To create an email-out event for each recipient client, select the Create Email Out events in Practice Manager - Contact checkbox.
Where your From email address differs from the sender’s default address, select the Override Default Sender Email Address field checkbox, then enter another valid address you have permission to use.
Click Add File to attach files to the email. If you have the Document Manager installed, click Add Doc to select a stored document file.
Under Email Text, type in the email body text. You can click Insert Merge Field to personalise the email with merge fields.
To include a merge field, highlight the value, then click Select.
Click Close when complete.
If required, click Preview to view the email before sending it.
Distribution List
View and manage the list of clients who will receive the email, add and remove clients from the selected list, or edit email addresses for clients.
If you have made changes under the Client Selection tab, you will be asked if you want to update the Distribution List accordingly.
Click OK to update the Distribution List, or Cancel to ignore the changes in the Client Selection tab to keep the existing list.
You can click Add to add clients to the Email Distribution List. Use the Find and Select buttons to add additional clients to your selection, then click Close when complete.
To remove a client from the list, highlight the client, then click Remove, OK.
In the Email Address column, you can manually type in the clients’ email addresses.
Click Send Emails to send the email to the clients in the Distribution List.
On the Attention window, review the information, then click OK to send the email to the clients.
Notes:
When you send a bulk email to multiple clients, they will only see the sender's email address; they do not see other email addresses in the distribution list.
The bulk email function is only available in the current year programs.
