The easiest way to create your own report is to alter an existing report so that it meets your firm’s requirements. The procedure is:
Determine which of the existing reports is closest to the report that you wish to create.
Copy the existing report to a new report name.
Modify your newly named report to achieve the desired report.
Run the new report.
Example: We will modify the report “Clients List Abbreviated”[Clients Only] so the email address will appear in the report.
The Clients List Abbreviated [Clients Only] Report currently looks like this:
Copy the existing report to a new name:
Go to Reports, Edit Reports.
Click Find.
In the Find Name window, type "Clients List Abbreviated"[Clients Only] and click OK.
With the Clients List Abbreviated”[Clients Only] report highlighted, click Copy.
In the New Name field, specify the name of your new report.
Click OK.
Modify the new report to achieve the desired result:
Highlight the new report "CLIENT LIST WITH EMAIL" click Design.
Take a few minutes to look at the bands of your report. Notice that the HeaderBand contains column headings, and the DetailBand (Parent: MasterBand) contains fields.
First, you will need to add the heading into the HeaderBand. Click in the HeaderBand. The border around the band will turn red, indicating that the band has been selected.
Go to Cell, New.
Type in the required heading in Cell Value. Double quotation marks need to be at the start and end of your text. e.g "Email".
6. Click Ok.
7. Click on the new cell ("Email") and drag it to the correct position.
8. Click on the DetailBand (Parent: MasterBand) the border around the Band will turn red.
9. From the Database Toolbar in Bands, select Clients.
10. In the Cells find EMail and click and hold to drag and drop into the DetailBand (Parent: MasterBand) or double click on EMail to auto-populate.
11. Click on Email@Clients, it will turn green and drag it to the correct position.
12. To check the appearance of the report, go to Report, Execute.
13. You may need to adjust the size of your cells:
To lengthen the Email cell in the Detailband, click the Email@Clients cell. The cell will turn green. Position the mouse pointer over the right border of the cell. Hold down the left mouse button. The mouse pointer will change to a two-headed arrow.
Once you have the two-headed arrow, keep holding down the left mouse button and move the mouse to the left or right. The cell will begin to expand.
To check the appearance of the report, go to Report, Execute, Select a Client Expression, OK.
Remember to select Yes to save the report as you exit from the Report Designer.
