HandiSoft - Migrate your HandiSoft programs to a new server

Important:

Before migrating HandiSoft to a new server

  • Backup the current HSoft Folder.

  • If you use the HandiSoft SQL version, you will also need to back up your HandiSoft SQL database.

  • All users must close all HandiSoft and Microsoft programs.

  • If you use Document Manager:

    • In Practice Manager Contact or HandiSoft, from the Options menu, click Document Manager and note the location of the DocBase folder.

During Migration

  1. Copy and paste the HSoft folder to the new location. e.g. C:\HSoft.

  2. If you use the HandiSoft SQL version, ensure that the Hssql.ini file located in the HSoft\Apps folder points to the new server.

  3. From the HandiSoft updates website install the most recent full version, followed by the minor upgrades to the new HSoft location if required.

Note: If you have moved SQL databases, you will need the Username and password for the SQL database.

General

You need to ensure:

  • The correct NTFS and Share permissions are granted to all users.

  • The HSoft folder is excluded from real-time scanning in your Anti-Virus.

  • The HandiSoft shortcut icons on all workstations are redirected to the new server.

  • The server is rebooted/restarted.

HandiTax

Move the keystore.xml file to the new server.

  1. Log in to HandiTax.

  2. Go to Lodgment, Set ATO Credentials.

  3. In the Browse for KeyStore file, make a note of the location of your keystore.xml file.

Update the prefill for continued functionality to prefill in prior tax years.

  1. Log in to HandiTax, then click Options, Tax Form Options.

  2. Enter the new path, then click OK.

Time+Billing

If you use a logo in your letterhead or invoices, you will need to update to the new location.

  1. Log in to Time+Billing, then click Options, Letterhead.

  2. Highlight the letterhead that is used, then click Design.

  3. Double-click into the cell containing your logo.

  4. Set the Cell Type to Image.

  5. Click Set Image and browse to the location of the logo, then click OK.

  6. Test the logo by clicking Report, Execute.

  7. Once the logo is positioned correctly, click Report, Save, Report, Exit.

HandiSoft Document Manager

The HandiSoft Add-Ins for MS Office will need to be refreshed.

  1. Close out of all MS programs, Outlook, Word, Excel, etc. on all computers.

  2. Open Document Manager, click Options, General.

  3. Click Deactivate, OK then Activate, OK.

Word Merge

If Word Merges are slow after the migration, you will need to remove the document templates from the Word templates.

  1. Log in to MS Word then open the Word template.

  2. Type in Options in the search field to open the Word Options window.

  3. Click Add-ins.

  4. In the Manage field, click on Templates in the list, then click Go.

  5. On the Template and Add-ins window, delete the path found in the Document template field and click OK.

  6. Complete the next step even if there is no path in the field.

  7. Save the Word document and click Yes to the messages that appear.

SQL Migrations

HandiRegister

  1. Log in to HandiRegister, then go to Options, EDGE Setup, EDGE Details.

  2. Adjust the EDGE Folder path at the top to point to the correct path that exists for your installation.

    1. Mixed mode authentication (SQL system admin and windows authentication)

    2. Collation has to be Latin1_General_CI_AS.

Backup and Restore SQL database

  • Old server using Microsoft SQL Server Management Studio: Right-click on the HandiSoft database, Task, Backup.

  • New server using Microsoft SQL Server Management Studio: Right click on Database, Task, Restore (find the backup file to restore).

  • New server: ensure that the SQL browser service has been started and TCP/IP protocol is enabled.

  • New server: firewall add exception for SQL TCP/IP port: 1433.


Re-configure HandiSoft to point to the new SQL server

  1. Ensure that all users are logged out of all HandiSoft programs.

  2. Rename \HSoft\Apps\HsSQL.ini to HsSQL.ini.old.

  3. Double-click to open any HandiSoft program from Hsoft\Apps, i.e. HT25SQL.exe, to get the MS SQL Server Login window to appear.

  4. Complete the text boxes and select the HandiSoft database. You can use sa username/any other login name.

  5. If you are unable to browse the database, check your computer services to ensure that the SQL server browser service is running.

Zap Data Hub

If you use the full version of Zap Data Hub you will need to uninstall the Data Gateway from the old server and install it on the new server. Follow these instructions here How to install the new mandatory Data Gateway installation for the HandiSoft model.

Access Practice Management\Access Ledger\Access Tax

If your practice is licensed for Access Accountant Cloud, Access Final Accounts, and\or Access Tax, the HandiSoft Data Agent service must be to be stopped on the old server and then restarted on the new server.

  1. From your old server machine, locate your Computer Management.

  2. Select Services and Applications and click Services.

  3. Find the Service, HandiSoft Data Agent.

  4. Right-click on HandiSoft Data Agent and select Stop.

  5. When the installation on the new server has been completed, navigate to the HSoft\Apps folder.

  6. Locate then double-click on HSDA.exe to install.

  7. Go to the Services list, right-click on HandiSoft Data Agent and then select Start.
