HandiTax - Email a tax return to another tax agent in HandiTax

Steps to copy and email HandiTax data to another tax agent using your designated folder or email.

To send HandiTax data from one database to another, you can copy the tax return files to a folder or email them directly via Microsoft Outlook.

Copy HandiTax data

  1. Open HandiTax in the required year.

  2. Tag the tax return(s).

  3. Press F6 to ensure the tagged returns are correct.

  4. From the Tools menu, click Copy tagged client to disk/email.

  5. Select Directory/drive and then click Browse.

  6. Browse to the required location, highlight the location, then click OK.

  7. If tax return files already exist in the same location, review the information in the window to Delete, Merge or Cancel as required.

  8. Click OK on the confirmation window.

📌Note: Both Clients.nnd and Returns.nnd files are required and will be in your designated folder (where nn designates the year).

Email HandiTax data

📌Note: The following option is available when Microsoft Outlook is your default email program.

  1. Open HandiTax in the required year.

  2. Tag the tax return(s).

  3. Press F6 to ensure the tagged returns are correct.

  4. From the Tools menu, click Copy tagged clients to disk/email.

  5. Select Email recipient and then click OK.

  6. Your Microsoft Outlook will open with the attached files.

  7. Forward the email with the attached files to the recipient.

🤓Tip: When selecting how to send your files, consider the following options:

  • Compress files checked - data is sent as a zip file.

  • Compress files unchecked - data is sent as two files (e.g. Clients.25d and Returns.25d).

  • Remove ATO identifiers - removes the TFN and client name.

  • Include client extra data - includes data contained in the extra tab in the client database.

Important considerations

⚠️Important: If the Client Reference code/TFN matches in both the sending and receiving programs, you will need to change a client's reference code to ensure data is not overwritten.

⚠️Important: Data exported from an ODB platform cannot be imported into an SQL platform (or vice versa). This incompatibility arises due to differences in the underlying database structure between ODB (non-SQL) and SQL versions of HandiTax. There is no option to convert files from ODB (non-SQL) to SQL format. To avoid compatibility issues, ensure all files are generated using the SQL version of HandiTax. If you receive files from another party, confirm the format used before importing the files.
